Instructions for Submitting Papers to AgEcon Search

AgEcon Search is a full text electronic library. The collection consists of reports of scholarly research in the field of agricultural and applied economics. To assure the quality of the research in this collection, an organized scholarly community such as a society, association, university department or organization must sponsor the work submitted. All papers submitted are indexed and included in a steadily growing, permanent electronic library dedicated to serving scholars worldwide.

A. Submission of Papers

Papers are submitted via the Submit button on the AgEcon Search home page. All papers submitted to AgEcon Search are affiliated with a sponsoring organization/conference. If your organization/conference is not listed, please contact Louise Letnes to arrange for the creation of a page before the paper is submitted.

A.1. Password

A password is required to submit papers to AgEcon Search. Please contact Louise Letnes to obtain a password.

A.2. Web Submission Form

The web submission form will act as a guide prompting you to provide the appropriate information in the correct format needed for the bibliographic citation. Submit each paper on a separate web form. At the end of the form you will be asked to give the name and location on your computer of the PDF file to be sent. When you send the form to AgEcon Search, the file of the full-text paper will be retrieved and transferred to AgEcon Search. There will be a slight time lag (usually less than a day) before the paper will be listed on AgEcon Search. If you are not able to use the web submission form or prepare PDF files, see section B.4 on submitting other formats.

B. Format of the Paper

B.1. Title Page and Copyright Statement

In order to provide proper institutional identity for papers submitted to AgEcon Search, each paper's title page should contain complete information.

The title page(s) should include:

  • author(s)
  • title of paper
  • department and university (or conference/consortium)
  • series title and number
  • date of publication
  • postal and e-mail address for the author(s)
  • any policy statement(s) required by the department/organization
  • copyright notice
  • summary or abstract of the paper (if available)
  • keywords and JEL codes (if available)

The abstract/keywords and the bibliographic information are used to produce the searchable index for the papers, so if there is no abstract the search will be limited to the bibliographic information.

Sample copyright statement:

Copyright 2000 by [author(s)]. All rights reserved. Readers may make verbatim copies of this document for non-commercial purposes by any means, provided that this copyright notice appears on all such copies.

B.2. PDF (Preferred Format)

AgEcon Search documents are posted in Adobe Acrobat PDF format. If you have the software (Adobe Distiller) necessary to create a PDF file, please transfer your paper to AgEcon Search in PDF format. Many users find that thumbnails and bookmarks are helpful navigation tools in PDF documents, so consider adding them when you create your PDF file.

B.3. LaTEx Files

LaTEx documents require special attention in order to make readable PDF files. PDFZone.com has written a document to assist in this transfer. Latex documents created without this procedure will appear fuzzy when viewed on the computer screen, but will print well.

B.4. Other Formats

If you are not able to create a PDF file, e-mail your word processing file as an attachment to Louise Letnes. Also, if you are not able to use the Web Submission form, you may send the PDF file as an e-mail attachment. In the body of the e-mail message include:
  • the name and format of the file
  • the name of the author(s)
  • the title of the paper
  • the date of the paper
  • the name of the university and department or consortium
  • the series name and number, or the conference name and date
  • the e-mail address of one or more authors
  • the length of the paper (in pages)
  • an abstract/summary, keywords and/or JEL codes (if available)
  • any information about charts, graphs, etc. that are missing in the electronic copy of the paper

C. Contacts

Consult your on-site computer expert if you have trouble with your computer set-up, conversion of text, or transfer of the text. It is much easier to solve problems on- site rather than via e-mail. However, if you are not able to get the assistance you need, do not hesitate to come directly to us. The designated first stop for assistance is Louise Letnes.
